1. Acceptance of these Terms
These Terms of Use (“Terms”) govern your access to and use of MailFlow: Smart Mail Assistant (“MailFlow,” the “Application,” “we,” “our,” or “us”).
By downloading, installing, accessing, or using MailFlow, you agree to these Terms and our Privacy Policy.
If you do not agree to these Terms, do not use MailFlow.
2. Description of MailFlow
MailFlow is a native macOS email client that allows users to connect and manage Gmail accounts directly from their Mac.
MailFlow features may include:
- Viewing Gmail messages
- Viewing senders, subjects, previews, labels, and message status
- Searching displayed messages
- Composing and sending email
- Marking messages as read or unread
- Starring and unstarring messages
- Archiving messages
- Moving messages to Trash
- Permanently deleting messages from Trash
- Viewing Gmail folders and unread counts
- Receiving notifications about new messages
- Connecting and managing multiple Gmail accounts
Features may be changed, added, restricted, or removed over time.
3. Eligibility
To use MailFlow, you must:
- Be legally permitted to use the Application
- Meet Google’s and Apple’s applicable age requirements
- Have authority to connect each Google account you add
- Comply with applicable laws and third-party terms
If you use MailFlow on behalf of an organization, you represent that you have authority to accept these Terms on its behalf.
4. Google Account authorization
MailFlow uses Google OAuth to request permission to access Gmail.
You are responsible for:
- Reviewing the permissions requested by MailFlow
- Choosing which Google account to connect
- Maintaining the security of your Google Account
- Protecting access to your Mac
- Disconnecting accounts you no longer want to use
- Revoking authorization when you stop using MailFlow
MailFlow never asks you to provide your Google password directly.
You may disconnect an account through MailFlow’s Settings or revoke access through your Google Account.
5. Gmail permissions
MailFlow requests the following Gmail OAuth scope:

This permission allows MailFlow to read, compose, send, modify, trash, and permanently delete Gmail messages.
MailFlow requires this permission because it provides permanent deletion from the Trash mailbox. Google does not permit permanent deletion through narrower Gmail permissions.
By granting this permission, you authorize MailFlow to perform Gmail actions that you explicitly request.
6. User-directed email actions
MailFlow performs email actions based on the commands you provide.
You are responsible for reviewing:
- Email recipient addresses
- Email subjects
- Email content
- Selected messages
- Read, star, archive, and Trash actions
- Permanent-deletion confirmations
You authorize MailFlow to communicate with Gmail and perform the actions you select.
MailFlow does not automatically send or permanently delete email.
7. Permanent deletion warning
MailFlow allows users to permanently delete messages from the Trash mailbox.
Permanent deletion:
- Cannot be undone
- May permanently remove the selected message from Gmail
- Must be explicitly initiated by the user
- Requires a confirmation action
- Should be used only after reviewing the selected message carefully
You are responsible for ensuring that the correct message has been selected before confirming permanent deletion.
To the extent permitted by law, MailFlow is not responsible for email deleted through an action you explicitly initiated and confirmed.
8. Acceptable use
You must not use MailFlow to:
- Violate applicable laws or regulations
- Access a Google account without authorization
- Send spam, phishing messages, malware, or deceptive content
- Harass, threaten, impersonate, or defraud another person
- Infringe intellectual-property, privacy, or contractual rights
- Distribute malicious code or harmful content
- Interfere with MailFlow, Gmail, Google APIs, or related systems
- Attempt to bypass authentication or security controls
- Abuse Gmail or Google API usage limits
- Use automated methods that create unreasonable traffic
- Reverse engineer MailFlow where prohibited by law
- Violate Google’s, Apple’s, or another provider’s applicable terms
We may restrict or discontinue access where reasonably necessary to protect users, services, security, or legal rights.
9. User content
You retain ownership of the email and other content you create, send, receive, or access through MailFlow.
You grant MailFlow only the limited authorization necessary to:
- Process content locally on your Mac
- Display requested Gmail information
- Send content to recipients you select
- Communicate requested actions to Google’s Gmail API
You are responsible for ensuring that your content and communications comply with applicable laws and do not violate another person’s rights.
MailFlow does not claim ownership of your email.
10. Privacy
MailFlow’s handling of personal information and Google user data is explained in the MailFlow Privacy Policy.
By using MailFlow, you acknowledge that you have reviewed the Privacy Policy.
11. Purchases and subscriptions
MailFlow may provide subscriptions, upgrades, or other purchases through Apple’s App Store.
Purchases may be subject to:
- The price displayed before purchase
- Applicable taxes
- Apple’s payment terms
- Automatic-renewal conditions
- Apple’s cancellation and refund policies
Apple processes payments and refunds. MailFlow does not directly receive or store complete payment-card information.
Premium access may end if a purchase expires, is cancelled, refunded, revoked, or cannot be verified.
12. Third-party services
MailFlow depends on third-party services, including:
- Google OAuth
- Gmail API
- Google Account services
- Apple macOS
- Apple App Store
- Apple StoreKit
- Apple notification services
Your use of these services may also be governed by their respective terms and policies.
MailFlow does not control and cannot guarantee:
- Gmail availability
- Google OAuth availability
- Google API availability or behavior
- Apple service availability
- Internet connectivity
- Third-party technical or policy changes
Changes made by third-party providers may affect or prevent some MailFlow features.
13. Application updates
MailFlow may release updates to:
- Add or remove features
- Improve performance
- Correct errors
- Maintain compatibility
- Address security concerns
- Comply with legal or platform requirements
Older versions may stop functioning because of changes to macOS, Gmail, Google OAuth, Google APIs, or other dependencies.
You are responsible for installing available updates when necessary.
14. Intellectual property
MailFlow, including its software, interface, branding, graphics, and original content, is owned by its developer or applicable licensors and is protected by intellectual-property laws.
These Terms grant you a limited, personal, non-exclusive, non-transferable, and revocable right to use MailFlow for its intended purpose.
These Terms do not transfer ownership of MailFlow or its intellectual property to you.
Google and Gmail are trademarks of Google LLC. Apple and macOS are trademarks of Apple Inc.
MailFlow is not affiliated with, sponsored by, or endorsed by Google LLC or Apple Inc.
15. Availability
We may:
- Modify features
- Release updates
- Correct technical problems
- Change system requirements
- Suspend functionality for maintenance or security
- Restrict abusive activity
- Discontinue MailFlow
We do not guarantee that MailFlow will always be available, uninterrupted, secure, compatible, or error-free.
16. User responsibility and backups
You are responsible for:
- Protecting your Mac and Google Account
- Reviewing email actions before confirming them
- Maintaining any necessary backups
- Ensuring recipient addresses are correct
- Avoiding accidental deletion
- Revoking access from devices you no longer control
You should not rely on MailFlow as the only method of preserving important email or account information.
17. No professional advice
MailFlow is an email-management application.
It does not provide legal, financial, medical, tax, employment, security, or other professional advice.
Information received through email should be independently evaluated when professional advice is required.
18. Disclaimer of warranties
To the maximum extent permitted by law, MailFlow is provided “as is” and “as available.”
We disclaim implied warranties of:
- Merchantability
- Fitness for a particular purpose
- Non-infringement
- Accuracy
- Availability
- Compatibility
- Uninterrupted operation
Nothing in these Terms excludes warranties or consumer rights that cannot legally be excluded.
19. Limitation of liability
To the maximum extent permitted by applicable law, MailFlow and its developer will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, including loss of:
- Data
- Revenue
- Profits
- Business opportunities
- Reputation
- Account access
This limitation does not apply where liability cannot legally be limited or excluded.
20. Indemnification
To the extent permitted by law, you agree to indemnify and hold harmless MailFlow and its developer from claims, losses, damages, liabilities, and expenses resulting from:
- Your unlawful use of MailFlow
- Your violation of these Terms
- Your violation of another person’s rights
- Content you send through MailFlow
- Unauthorized access caused by your failure to secure your account or device
This section does not apply where prohibited by law.
21. Suspension and termination
You may stop using MailFlow at any time.
You can disconnect your Google account through MailFlow’s Settings and revoke access through your Google Account.
We may restrict or terminate access when reasonably necessary because of:
- A violation of these Terms
- Fraudulent, abusive, or illegal activity
- Security risks
- Legal requirements
- Third-party platform requirements
- Discontinuation of MailFlow
Sections that logically survive termination will remain effective.
22. Changes to these Terms
We may update these Terms when MailFlow’s functionality, services, business practices, or legal obligations change.
Updated Terms will be published on this page with a revised effective date.
Continued use after an update constitutes acceptance where permitted by law.
23. Governing law
These Terms are governed by applicable law, without excluding mandatory consumer protections available in your jurisdiction.
Before initiating a formal dispute, you agree to contact us and attempt to resolve the matter informally where appropriate.
24. Severability
If any provision of these Terms is found unenforceable, the remaining provisions will continue in effect.
An unenforceable provision will be interpreted as closely as legally permitted to its original purpose.
25. Entire agreement
These Terms and the Privacy Policy constitute the agreement between you and MailFlow concerning use of the Application.
They replace earlier agreements or communications concerning the same subject.
